Job Summary

The Mailroom Coordinator is responsible for overseeing daily mailroom operations, ensuring the accurate, timely, and secure handling of incoming and outgoing mail, packages, and deliveries. This role supports office operations by coordinating logistics, maintaining records, and providing excellent internal customer service.

Key Responsibilities
  • Receive, sort, log, and distribute incoming mail, packages, and courier deliveries
  • Prepare and process outgoing mail, including postage, courier services, and shipping documentation
  • Coordinate with internal departments to ensure timely delivery of mail and packages
  • Operate and maintain mailroom equipment (postage meters, scanners, copiers, etc.)
  • Track shipments and resolve delivery issues with carriers and courier services
  • Maintain accurate records of mail, packages, and shipping costs
  • Ensure compliance with company policies, safety procedures, and confidentiality standards
  • Manage mailroom supplies and request replenishment as needed
  • Assist with special projects such as bulk mailings, office moves, or document distribution
  • Help the maintenance department when required
  • Provide backup support for reception or other administrative functions as needed
Qualifications
  • High school diploma or equivalent required; additional education or training is a plus
  • 1–3 years of experience in a mailroom, logistics, or administrative support role preferred
  • Familiarity with shipping carriers (e.g., USPS, FedEx, UPS, DHL)
  • Basic computer skills (email, spreadsheets, shipping software)
  • Strong organizational and time-management skills
  • Ability to handle confidential information with discretion

  • Requires good communication skills, both verbal and written.

  • Standing, walking, and lifting required for extended periods
  • Standard business hours: occasional overtime may be required during peak periods
