Provides administrative support to President, Lumo/VP, Global Publishing & Marketing in all areas. Works on all Digitial Bible Library (DBL) related items.
Essential Duties and Responsibilities
Include but not limited to:
Have a working understanding of OneHope—its history and culture; governance structure, staff, and Board; programs and projects; and other constituencies.
Support of Lumo President/VP of Global Publishing & Marketing
Provides support to President/VP by maintaining her calendar and responding to meeting requests and takes care of any setup/organization required for meetings.
Supports President/VP in administrative tasks such as booking flights, events, meetings, conference calls and attending to any tasks that come up.
Assists the President/VP in managing calendar, deadlines, priorities and more.
Attend onsite meetings at OneHope as needed, in order to take meeting minutes as directed.
Assists the President/VP with phone calls, mailings and all communications tasks that come up.
Serves as liaison between President/VP and the OneHope staff, particularly while she is not at the home office in Pompano Beach, FL.
This position requires the incumbent to make decisions for developing and maintaining confidential files, and independently prepares correspondence. They are responsible to determine what issues can be resolved independently, by others and what needs the direct attention of the President/VP.
Independently prepare correspondence and memoranda in clear and concise manner
Plan, organize and schedule priorities
Manage assigned special projects
Digital Library Coordinator
Managing license contracts, permission requests (both to other IPC’s (Intellectual Property Contributors) and LCH’s (Library Card Holders), including accepting these agreements within OneHope’s DBL account.
Serves as the main correspondent/contact/liaison for all DBL related activity.
Stays abreast with all DBL global activity and disperses newsletter information to OneHope leadership.
Administer’s OneHope contractor user accounts, permissions, and roles
Manages organizational setup (e.g. sub-organizations like Lumo under OneHope Inc.) and licenses (licensing documents OneHope is wiling to receive assets under)
Setup and maintain appropriate preferred partner relationships within the DBL
Uploads all receipts and expenses and handles expense reports for President/VP.
Communicates coding related to budget and expense reports.
Maintain the monthly budget and monthly forecast on time.
Track bills and expenses and submit on time
At least 2 years experience as an executive administrative assistant
Skills and Abilities
Compurate literate: MS Office, Share Point, FTP sites
A fluent knowledge in English and Spanish language, verbal and written
Ability to work with little supervision
Great communication Skills
Strong time management/organizational skills
Strong attention to detail

While performing the duties of this job, the employee is frequently required to stand; walk and sit. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, depth perception and ability to adjust focus.
This position may require travel both domestically and internationally.
